Gmail automation that acts when an email arrives

Tell Inbox what should happen to new Gmail emails, in one sentence. It replies, drafts, labels, summarises or passes them on to the app where the work happens.

What is Gmail automation in ClearMakes Inbox?

Gmail automation in ClearMakes Inbox means workflows that start when a new email arrives in your Gmail and then do the routine steps for you: draft or send a reply, add a label, summarise the email, or post it to Slack, Teams, HubSpot or Notion. You describe each workflow in one sentence. There is a free plan.

What a Gmail workflow can do

Anything you would do by hand with a new email, if you can say when to do it. It can also reach other apps in the same run.

    Example workflow

“When someone emails to ask about prices, draft a reply for me with our price list link.”

    1. When an email arrives in Gmail
    2. Check it asks about prices
    3. Draft a reply
    4. Wait for you to check it
    Example workflow

“When an email mentions an invoice, add the label Billing and post the amount to #finance.”

    1. When an email arrives in Gmail
    2. Stop if it isn't about an invoice
    3. Pull out the details: amount, due date
    4. Add the label Billing
    5. Post to #finance in Slack
    • In Gmail: send a reply, draft a reply, add a label, summarise, pull out details, find related emails.
    • In other apps: post to Slack, post to Teams, add a HubSpot contact, add a Notion page.
    • Around it: wait a while, wait for a reply, check a condition, try again if it fails. See every workflow step.

    How to connect Gmail

Sign in to Google from the Apps page and agree to the permissions Google shows you. Then describe your first workflow.

    1. Create a free ClearMakes account

      Start from ClearMakes Inbox.
    2. Open Apps and connect Gmail

Google's sign-in screen lists the permissions before you agree. A Google Workspace admin may need to allow the app.
    3. Describe a workflow

In Workflows, type what should happen. Inbox asks at most one question, then shows the steps.
    4. Switch it on and check the first runs

Every run is listed with its steps and anything it sent.

Inbox reads only the emails your workflows and Smart FAQ need. Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. See the privacy policy.

    Other ways to automate Gmail

Gmail's own filters and templates are free and cover simple sorting. For multi-step work there are Google's own Workspace Studio, general tools like Zapier, and Inbox.

Limits, and who this is not for

If all you need is to sort emails into labels, Gmail's own filters do it for free. Inbox is for the steps after sorting.

    • AI steps can misread an email now and then; prefer drafts over automatic sending for anything important.
    • Free: 3 apps, 2 new workflows a month, 100 runs a month.
    • Not an email app: you still read and write email in Gmail.

    Questions people ask

Does it work with a personal Gmail account?

Yes. You can connect a personal Gmail address or a Google Workspace account. A Workspace admin may need to allow outside apps first.

Can it act only on some emails?

Yes. Describe which ones in the sentence: from certain people, mentioning certain words, about a topic, or sounding upset. Emails that don't match stop at the check and nothing else happens.

Will it send emails without asking me?

Only if your workflow says so. A workflow can draft a reply for you to check instead, and that is the safer way to start.

Can I connect more than one Gmail account?

Free connects one account per app. Starter connects up to 3 accounts per app, and Growth has no limit.

What does Google Workspace Studio do differently?

Workspace Studio is Google's own automation tool, included in Workspace Business and Enterprise editions. It suits teams that stay inside Google apps. Inbox also works with personal Gmail, Outlook, Slack, Teams and HubSpot in the same workflow.
