Orders, invoices, enquiries: when a new one lands in Gmail, add a row to your sheet with the details filled in. Here are the ways to do it, from free to fully automatic.

What is the Gmail to Google Sheets workflow in ClearMakes Inbox?
It is a ClearMakes Inbox workflow that watches Gmail for the emails you describe, pulls out the details you name, such as the sender, an order number or an amount, and adds them as a new row in a Google Sheet. You set it up in one sentence. There is a free plan; paid plans start at $29 a month.
Way 1: Google Apps Script (free, needs code)
Apps Script can read your Gmail and write to a sheet on a timer. It is free, but you write and fix the code yourself, and Google sets daily limits.
- In your sheet, open Extensions, then Apps Script, and write a script that searches Gmail and adds rows.
- Add a timed trigger so it runs on its own.
- Mark each email it has saved (for example with a label), or it will save the same email twice.
For a gmail.com account, Google allows triggers 90 minutes of run time a day, and each run can last up to 6 minutes (6 hours a day for Google Workspace accounts). Source: Apps Script quotas, checked 29 October 2026.
Way 2: a Zap from Gmail to Google Sheets
Zapier can add a row to a sheet for each new email that matches a search. Its free plan runs two-step Zaps and checks for new email every 15 minutes.
The free plan has 100 tasks a month. A Zap with more than two steps, such as one that also pulls details out of the email, needs a paid plan: Professional is $29.99 a month, or $19.99 a month billed yearly, for 750 tasks. Source: Zapier pricing, checked 29 October 2026.
Way 3: a ClearMakes Inbox workflow
Connect Gmail and Google Sheets, then type what should happen. Inbox writes the steps, pulls out the details with AI, and adds the row.
“When an invoice arrives in Gmail, add a row to the Invoices sheet with the supplier, the amount and the due date.”
- When an email arrives in Gmail
- Check it is an invoice
- Pull out the supplier, amount and due date
- Add a row in Google Sheets

Which way should you pick?
If you can code and want it free, use Apps Script. If you already use Zapier, a Zap is quick. If the emails differ and you want the details pulled out for you, use a workflow.
| Way | Cost to start | Code | Pulls details out of the email | Main catch |
|---|---|---|---|---|
| Copy by hand | Free | No | You do | Slow, and easy to miss one |
| Google Apps Script | Free | Yes | If you write it | You fix it when it breaks; daily limits |
| Zapier | Free plan, 100 tasks a month | No | Depends on the Zap | More than two steps needs a paid plan |
| ClearMakes Inbox | Free plan, 100 runs a month | No | Yes, with AI | Check the first few rows |
